The safest setup order is: preserve the original download, open the EXAMPLE workbook to understand the workflow, then configure the CLEAN workbook for your business. Avoid deleting sheets, renaming structured ranges or mass-pasting data until you understand the dependencies.

SET UP→BUILD→OPERATE→REVIEW

CLEAN vs EXAMPLE

CLEANUse for real business records after setup.EXAMPLEUse as a reference to see sample clients, pets, bookings and workflow behavior.

Do not continue operating from the example-data file unless you intentionally clean and validate every sample record. The CLEAN workbook reduces the risk of mixing demonstration records with real business data.

Setup sequence

  1. Save a backup copy of the untouched download.
  2. Open START HERE and read the workflow.
  3. Configure the SETUP sheet: business details, currency and distance unit as provided by the workbook.
  4. Build controlled client, pet, service and pricing records.
  5. Create bookings from those records rather than duplicating details manually where the workbook provides linked fields.
  6. Use TODAY for daily operating attention.
  7. Close payments, service logs, expenses, mileage and follow-ups close to the event.
  8. Use DASHBOARD and REPORTS after the underlying records are current enough to interpret.

Core workflow

CONNECTED OPERATING CHAINCLIENT → PET → SERVICE → PRICE → BOOKING → PAYMENT → VISIT → FOLLOW-UP

Recurring Schedules is a planning register. It does not automatically generate operational Bookings. A recurring plan still needs confirmed bookings represented in the actual booking workflow.

Compatibility and regional behavior

This V5 release is positioned for Microsoft Excel 365. A separate Google Sheets edition is in development; it is not included with this Excel release and will not be presented as available until native testing is complete. The workbook supports USD, GBP, EUR, CAD and AUD currency codes, dd-mmm-yyyy date presentation and miles/km configuration as designed.

Regional note: decimal separators and some display behavior can follow the buyer’s Excel / operating-system locale. Do not “fix” a localized display by rewriting formulas unless a real calculation problem exists.

Troubleshooting

Dropdown appears blank

Confirm the relevant source records exist and that the workbook has not had validation/list ranges deleted or structurally altered. Test in Microsoft Excel 365 rather than assuming another spreadsheet app reproduces the same validation behavior.

Dashboard/report looks incomplete

Check the reporting period and whether source bookings, payments, service logs, expenses and other required records are current. A dashboard cannot create evidence that was never entered.

A recurring schedule did not create bookings

This is expected. Recurring Schedules is planning-only and does not auto-generate confirmed booking records.

Currency/date looks different from the screenshot

Check SETUP and Excel regional settings. Screenshots use example data and one locale; the workbook is designed to work with the supported configuration options rather than reproduce one exact visual locale everywhere.

Data safety

Keep backup copies before bulk imports or structural changes. Client, pet, access and payment-status records can contain sensitive business information. Use appropriate device security, backups, sharing controls and retention practices for your circumstances.
